This policy explains what personal data we collect when you use our website, how we use and protect it, and the choices and rights you have.

1. Who we are

Montévia Surfaces ("we", "us", "our"), Jay Ambe Park, Plot No-2 P Shivalik-2 Complex, Mahendra Nagar, Morbi - 363642, Gujarat, India, operates monteviasurfaces.com and its catalogue download portal. We decide how and why your personal data is processed, and are the "data fiduciary" under India's Digital Personal Data Protection Act, 2023 and the "controller" under the EU/UK General Data Protection Regulation (GDPR) where it applies.

2. Personal data we collect

Information you give us. When you use a form on the Website we collect the details you enter:

  • Contact and product/project enquiries: name, email, phone number, company, country, your message, and the product or project you asked about.
  • Quotation requests: name, email, phone, company, project type, quantities, timeline, selected products and your message.
  • Consultation bookings: name, company, professional role, email, project location and project overview.
  • Export and dealer enquiries: name, email, phone, company, business type, country, port of discharge, expected annual volume and requirements.

Please do not include sensitive personal data (such as health, financial account or government ID details) in your messages.

Information collected automatically. When you visit the Website our servers receive technical data such as your IP address, browser and device type, pages requested and the date and time of the request. We use this to deliver the Website, keep it secure and prevent abuse (for example rate limiting and blocking automated scraping). On our catalogue download portal we record page views and downloads to understand which catalogues are used; IP addresses there are stored only in an irreversibly hashed form.

Information stored on your device. Your favourites and product comparison lists are saved in your own browser's local storage so they persist between visits. This data stays on your device and is not sent to us; you can clear it at any time through your browser settings.

3. Cookies

The public Website does not use advertising or analytics cookies, and we do not track you across other websites. Strictly necessary cookies are used only to keep authorised staff signed in to our administration area. If we introduce analytics or other non-essential cookies in future, we will update this policy and ask for your consent where the law requires it.

4. How we use your data and why

We use personal data only for these purposes:

  • to respond to your enquiry, prepare quotations, arrange consultations and samples, and evaluate dealer and export applications (based on your consent and on steps taken at your request before entering into a contract);
  • to manage our business relationship and fulfil orders under separate sales agreements (performance of a contract);
  • to operate, secure and improve the Website, prevent fraud, spam and scraping, and enforce our Terms & Conditions (our legitimate interests);
  • to send you product news or offers, only if you have asked to receive them, and you can opt out at any time (consent);
  • to comply with legal, tax and regulatory obligations (legal obligation).

We do not sell your personal data and we do not use it for automated decisions that affect you.

5. Who we share it with

Your data is accessible only to our staff who need it to handle your enquiry. We share it with trusted service providers who process it on our behalf, under contracts that require them to keep it secure and confidential:

  • website hosting and our database provider (Supabase), which stores enquiries;
  • Google (Gmail), which delivers the notification emails our team receives about enquiries;
  • Cloudinary, which hosts and delivers product images;
  • our file-hosting provider, which stores and serves downloadable catalogues;
  • Google Fonts, which serves icon fonts used on the Website (your browser requests them directly from Google, which receives your IP address);
  • security and rate-limiting services that help protect the Website from abuse.

Where you ask about a specific market, we may share your enquiry with our authorised dealer or distributor for that region so they can serve you. We may also disclose data where required by law, or to protect our rights, property or safety. If you contact us via WhatsApp, that conversation is also subject to WhatsApp's own privacy policy.

6. International transfers

We are based in India and some of our service providers operate servers in other countries. Your data may therefore be processed outside your country of residence. Where the law requires, we rely on appropriate safeguards such as standard contractual clauses, and we transfer data only to countries not restricted under Indian law.

7. How long we keep it

We keep enquiry data for as long as needed to respond to you and manage any resulting business relationship. Enquiries that do not lead to a business relationship are deleted or anonymised within three years of our last contact with you, unless we must keep them longer for legal, tax or dispute reasons. Security logs are kept for a short period, normally no longer than 90 days.

8. How we protect it

We use technical and organisational measures appropriate to the risk, including encrypted (HTTPS) connections, database access controls, restricted administrative access, rate limiting and monitoring. No method of transmission or storage is completely secure, but we work to protect your data and will notify you and the relevant authorities of a personal data breach where the law requires.

9. Your rights

Depending on where you live, you have the right to:

  • access the personal data we hold about you and obtain information about how it is processed;
  • correct, complete or update inaccurate data;
  • have your data erased where it is no longer needed or you withdraw consent;
  • withdraw consent at any time, without affecting processing already carried out;
  • object to or restrict certain processing, and receive your data in a portable format (GDPR);
  • nominate another person to exercise your rights in the event of death or incapacity (India);
  • have your grievance addressed by us, and complain to the Data Protection Board of India or to your local data protection authority.

To exercise any of these rights, email info@monteviasurfaces.com. We may need to verify your identity, and we will respond within the time required by applicable law (normally within 30 days).

10. Children

The Website is intended for business and adult customers. We do not knowingly collect personal data from anyone under 18. If you believe a child has submitted personal data to us, please contact us and we will delete it.

11. Changes to this policy

We may update this policy to reflect changes to the Website, our services or the law. The "Last updated" date above shows when it last changed. Where changes are significant, we will highlight them on the Website.

12. Contact and grievance officer

For any question, request or complaint about your personal data, contact our Grievance Officer at info@monteviasurfaces.com, by phone on +91 73839 29613, or by post to Grievance Officer, Montévia Surfaces, Jay Ambe Park, Plot No-2 P Shivalik-2 Complex, Mahendra Nagar, Morbi - 363642, Gujarat, India.
